Step by step

  1. Open left menu Billing → Billing admin (app.smartsurvafrica.com/billing/admin).
  2. Accounts: one per client with status, plan, type, To pay, Credit and Terms. Filter by status.
  3. Press Terms on an account: Billing type (Prepaid or Postpaid), Payment terms (days), Tax country, currency (fixed once invoiced), Coupon and Service: Automatic (follows payments), Keep active (grace), Pause surveys or Closed. Press Save.
  4. Invoices: choose the month and press Invoice month to make that month’s invoices. Drafts need Issue, which gives them a number. Then PDF or Email.
  5. To correct an invoice, make a Credit note (amount and reason). To cancel one with no payments, press Void with a reason: the number stays in the series, marked void.
  6. Payments: online payments arrive by themselves. For a bank transfer press Record a payment: client, amount, Method, Bank reference, optionally the invoice, and a note.
  7. To see one client’s own Billing page, choose it in the client switcher and open Billing → Billing.

What you will see

  • Statuses: draft, open, overdue, paid, void.
  • A payment is applied to the chosen invoice, then the oldest open ones; the rest becomes credit. Paying reactivates a paused account.
